Cooperation & Inquiries

What type of factory are you?

XHUAJU is a garment manufacturer located in Ma'an Town, Huizhou, Guangdong. We operate our own production lines and are not a trading company.

We started in 2017 as a workwear production workshop. In 2020 we formed our pants team, in 2023 our functional tops team, and in November 2024 completed business registration as Huizhou Xinghuaju Garments Co., Ltd.

We currently operate three dedicated production teams: KNITPACT (pants), Grsence (workwear), and RayshellGear (functional tops). We also manufacture backpacks and tote bags, and provide custom production for outdoor products such as tents and hats.

What product categories do you mainly produce?

Three core categories: pants, workwear, and functional tops. In addition, we manufacture backpacks, tote bags, and other outdoor products such as tents and hats.

Each category is handled directly by its corresponding production team — no intermediate transfer, fewer communication layers, and less risk of requirement deviation.

What is your MOQ (Minimum Order Quantity)?

MOQ is determined by category and fabric availability:

If your order quantity is below the standard MOQ, please note it in your inquiry. We will assess feasibility based on fabric stock and production scheduling.

How soon will I receive a response after submitting an inquiry?

Within 1 business day.

Please include product category, target quantity, and expected lead time in your inquiry. We will assign it directly to the leader of the corresponding production team, so the person handling your inquiry is already familiar with that category.

What makes you different from a trading company?

XHUAJU is factory-direct, not a trading company. From sampling, cutting, and sewing to finishing, QC, and shipping, everything is done in our own factory.

This means three things: your styles will not be subcontracted to unrelated third-party factories; production progress and quality are directly controlled by us; and fabric sourcing compliance requirements are written into purchase contracts by us and enforced with suppliers.

Can we visit the factory?

Yes. On-site visits are welcome by appointment — please schedule at least — days in advance. We will arrange the leader of the corresponding production team to accompany you.

If an on-site visit is not convenient, we can also arrange a live video factory tour showing cutting, sewing, finishing, and QC in real time.

Intellectual Property Protection

How do you protect client designs and samples?

Client designs, samples, technical documents (Tech Packs), and fabric information are all treated as client-exclusive assets. Specific practices:

  • During sampling and production, your design files and samples are accessible only to the production team assigned to that project — no cross-team circulation
  • Your styles will not be used for other clients' orders
  • Your designs will not be displayed, sold, or given away as case studies, samples, or open styles
  • After project completion, samples and design files will be stored or returned at your request, with no copies retained for other uses
  • All production and management staff involved in the project sign confidentiality undertakings
Can we sign an NDA?

Yes. A mutual NDA can be signed at the sampling or quotation stage, covering design files, samples, technical documents, fabric sources, and order information.

If you have a standard NDA template, please provide it and we will arrange for signing. If not, we can provide a basic template for both parties to confirm.

Will you use my designs for other clients?

No.

Client styles are used only for that client's order production. They are not transferred to any third party, not used for other clients' orders, and not displayed or sold as open styles. This is a basic principle of our cooperation and the foundation of our long-term service to brand clients.

What happens to samples after development?

After sampling is complete, samples are handled according to your choice:

  • Returned to you
  • Kept by the factory, used only for bulk production of that order
  • Destroyed at your request after order completion, with destruction confirmation provided

The specific method is confirmed before sampling begins.

What if you also serve competing clients?

Different clients' styles, designs, and fabric information are fully isolated internally, handled by separate production teams. No client's design information flows to another client.

If you have exclusivity requirements (for example, a style produced only for you in a specific market or for a specific period), please raise this before cooperation. We will specify it clearly in the contract.

Sampling & Development

How long does sampling take?

After receiving your sample or Tech Pack and confirming sampling requirements:

  • Pants: — business days

Complex craftsmanship, special fabrics, or styles requiring new molds will take longer. We will inform you in advance after assessment.

How is the sampling fee calculated? Is it refunded on bulk orders?

The sampling fee is quoted after assessment of style complexity, fabric cost, and craftsmanship requirements.

When the bulk order reaches — pieces, the sampling fee is refunded in full.

How many rounds of sample revision are allowed?

— rounds of revision are free of charge. Additional rounds are charged based on actual labor hours and material costs.

Before each revision, we confirm the content and cost with you and proceed only after your approval.

What do I need to provide to start sampling?

We support both sample-based and drawing-based development. Provide any one or a combination of the following:

  • Physical sample garment (we will reproduce from the sample)
  • Technical drawing / Tech Pack (with size chart and craftsmanship notes)
  • Reference images + size requirements + fabric specification

If you only have a reference style or a preliminary idea, please reach out first. We will assign the corresponding team to assess feasibility based on category.

Can I use fabric specified by my side?

Yes.

Client-supplied fabric requires fabric information (composition, weight, width, color code) before order placement, so the factory can confirm compatibility with the production process. If there are risks related to shrinkage, color variation, or process compatibility, we will raise them during the sampling stage.

Quality and compliance responsibility for client-supplied fabric rests with the client. The factory is responsible for process compatibility and production quality.

Bulk Production & Lead Time

How long does bulk production take?

After sample approval and deposit payment:

  • Pants: — business days

Peak season, rush orders, or orders with special craftsmanship require individual assessment.

How do I follow up on progress during production?

During bulk production, we send a progress update once a week, with on-site photos from the workshop.

Key milestones (cutting complete, sewing complete, final inspection) are notified separately. If you have a designated merchandiser or third-party inspection agency, we can arrange synchronization.

Can you handle rush orders?

This depends on the current production schedule. A rush order requires assessment of whether capacity can be adjusted, whether fabric is available, and whether craftsmanship can be compressed.

If a rush order is possible, we will issue an adjusted lead time and rush fee for your confirmation before proceeding.

Quality & Inspection

How do you control quality?

QC checkpoints are set at cutting, sewing, finishing, and packing stages:

  • Fabric incoming inspection: color variation, weight, defects
  • Cutting inspection: panel dimensions, quantity, direction
  • Sewing in-process inspection: stitching, dimensions, appearance, trims
  • Final inspection: random sampling by AQL — standard
  • Pre-shipment inspection: packing, labels, quantity, carton verification

Inspection records are retained at each stage for traceability.

Can I arrange third-party inspection?

Yes. We support on-site inspection by third-party agencies such as SGS, BV, and Intertek, as well as inspection by clients themselves.

Please schedule at least — days in advance. We will coordinate the venue, samples, and the corresponding production team leader on site.

How are quality issues handled?

Issues found before shipment: the factory reworks or remakes at its own cost.

Issues found after shipment: please raise them within — days of receipt, with photos or a third-party inspection report. Once verified as a factory production issue, we will negotiate rework, replacement, or price adjustment based on the actual situation.

Certification & Compliance

What certifications do you have?

Factory certifications are in progress. We are currently pursuing amfori BSCI, WRAP, and ISO 9001.

Before certifications are formally obtained, we do not use any certification body's official marks and do not make "certified" claims. Progress is updated on our website on an ongoing basis.

How do you ensure compliance of fabrics and trims?

As a garment manufacturer, we apply the following compliance requirements to fabrics and trims used in customer orders:

  • OEKO-TEX Standard 100: fabric suppliers are required to provide test reports for harmful substances or equivalent documentation
  • EU REACH: for products exported to the EU, suppliers must confirm that fabrics and chemicals comply with REACH regulation
  • GRS: for orders involving recycled materials, suppliers must provide a GRS certificate and Transaction Certificate (TC)

Before placing purchase orders, we require suppliers to provide certificate scans and verify certificate number validity. Suppliers that cannot be verified are excluded from our approved supplier list.

My order requires specific compliance documentation — can you support this?

Yes. If your order requires specific compliance documentation (such as OEKO-TEX, GRS, or a REACH compliance declaration), please note it in your inquiry. We will request the corresponding certificates or test reports from suppliers during fabric sourcing and provide them with the shipment.

Payment & Logistics

What are your payment terms?

Specific terms are confirmed at the quotation stage based on your destination and logistics requirements.

How do you handle packaging and shipping marks?

We accept client-specified packaging methods, shipping marks, labels, and barcode requirements. Please provide packaging specifications or reference samples before order confirmation.

If the client has no special requirements, we use standard export packaging: individual polybag + outer carton, with a packing list attached to each carton.

Privacy Policy

What information do we collect?

When you submit an inquiry through our website form, we collect the following information you provide:

  • Name
  • Email / WhatsApp
  • Company name
  • Country / region
  • The inquiry content you provide

We do not collect personal information unrelated to business, and we do not use third-party advertising trackers.

How is this information used?

Solely for the following purposes:

  • Responding to your inquiry, quotation, and business communication
  • Assigning the inquiry to the corresponding production team leader
  • Progress communication during order execution

We do not use your information for marketing push, and we do not sell or provide it to any third party for commercial purposes.

How is information stored and protected?

Form data is verified by Cloudflare Turnstile before transmission and stored in an access-controlled internal system. Only the sales personnel responsible for handling your inquiry can view it.

We do not retain your information indefinitely. If cooperation is not reached, the information is deleted — months after the inquiry is closed.

Can I request access to or deletion of my information?

Yes. To access, correct, or delete information we hold about you, please contact us at info@xhuaju.com. We will process the request within — business days.

Terms of Use

Ownership of website content

All text, images, videos, structural design, and code on this website are the property of Huizhou Xinghuaju Garments Co., Ltd. Without written permission, they may not be copied, reproduced, or used for commercial purposes.

Information accuracy

Factory information, capacity data, and certification status displayed on this website reflect actual conditions at the time of publication. Capacity, lead times, and similar data may change due to order scheduling and seasonality. Formal cooperation is governed by the terms of the contract.

Third-party links

This website contains links to the independent websites of KNITPACT, Grsence, and RayshellGear. The content and usage rules of those sites are the responsibility of their respective operators. These Terms of Use do not apply to those sites.

Governing law and dispute resolution

These Terms of Use are governed by the laws of the People's Republic of China. Disputes arising from the use of this website shall first be resolved through friendly negotiation. If negotiation fails, the dispute shall be submitted to the competent People's Court at the company's place of registration.

Cooperation Statement

Intellectual Property

Client-provided designs, samples, technical documents, and brand information are used solely for that client's order production. They are not transferred to any third party, not used for other clients' orders, and not displayed or sold as open styles.

The factory's own craftsmanship, pattern library, and production processes do not transfer ownership through cooperation. If joint development is required, IP ownership is specified separately in the contract.

Business Integrity

We reject any form of commercial bribery. Employees may not solicit or accept improper benefits from clients or suppliers under any name.

The same principle applies to suppliers: no kickbacks in exchange for orders, and no substituting relationships for product quality. Cooperation is based on transparent pricing, verifiable capability, and performance records.

Labor Rights

The factory does not use child labor, does not force overtime, and pays wages and social insurance in accordance with the law. Employees join voluntarily and may leave freely.

We are pursuing BSCI and WRAP social responsibility audits, with the goal of aligning our labor management with internationally accepted standards.

Environment & Compliance

Wastewater and fabric scraps from production are handled in accordance with local environmental regulations. Fabric sourcing requires compliance documentation from suppliers, with priority given to suppliers holding environmental certifications.

We do not sacrifice compliance requirements to reduce costs, and we do not accept client requirements that violate laws or regulations.

Cooperation Principles

We only accept orders we are capable of fulfilling well. If a category, quantity, or lead time exceeds the factory's capability, we state it clearly rather than accepting the order first and figuring it out later.

We respect our clients' business judgment. If a client chooses another supplier, we do not press for reasons, and we do not lower our service standard for future cooperation as a result.
